Project-Based Cleaning

Project-Based Cleaning for One-Time and Specialized Scopes

When your regular cleaning program isn't built for what just happened–event cleanup, emergencies, industrial dusting, annual resets–we mobilize fast with fixed-price quotes and no surprises.

Your Regular Cleaning Program Wasn’t Built for This.

The Gap Between Maintenance and Reality

Your janitorial service handles the daily and weekly rhythm. Your deep cleaning program handles the periodic reset. But some situations fall into neither–and that’s when businesses in the Northwest Suburbs end up scrambling.

The corporate holiday party ends at 10 PM. Monday morning starts in 33 hours. The venue looks like a catering disaster zone.

The COO is flying in from headquarters Thursday for a facility walkthrough. The warehouse rafters haven’t been touched since the building opened six years ago.

A pipe burst over the weekend. There’s standing water in two offices and saturated ceiling tiles on the floor. Your nightly janitor called and said they’re not equipped for this.

The new clinic opens in three weeks. Post-renovation dust is in every surface and the building needs to be cleaned to healthcare standards before a single patient walks through the door.

These aren’t janitorial problems. They’re project problems. And they require a different kind of response – specific equipment, specific crew training, a fixed scope, a hard deadline, and no room to get it wrong.

What Project-Based Cleaning Actually Is

Project-based cleaning is the service for everything outside your regular program.

It’s not a catchall for low-priority work. It’s a structured, scoped, fixed-price engagement for cleaning projects that require specialized equipment, specific expertise, or emergency mobilization that a standard maintenance contract isn’t designed to provide.

The common thread across every project we handle: there’s a specific outcome required by a specific time, and the scope goes beyond what your regular service was built to do.

The Project Types We Handle

Pre-Event and Post-Event Cleaning

Pre-event: Your corporate dinner, grand opening, board presentation, or trade show deserves a venue that’s been detailed – not just maintained. We bring the space to presentation standard before your guests arrive: glass polished, floors gleaming, restrooms stocked and sanitized, every surface free of the everyday accumulation your nightly crew maintains but doesn’t reset.

Post-event: The event ends late. Business starts early. The overnight window between your event and your first employee arriving Monday is when post-event cleanup happens. We restore the venue to business-ready condition – catering debris removed, floors cleaned, restrooms sanitized, furniture repositioned – so you walk into a clean building, not a cleanup project.

Holiday event season (Nov–Dec) is our highest-demand project window. Crew availability fills weeks in advance. Book your post-event cleanup alongside your venue reservation, not the week before your event.

Industrial High-Level Dusting

Warehouse rafters. Exposed ductwork. High-bay light fixture housings. Overhead pipe runs. These surfaces accumulate dust, debris, and particulate continuously – and because they’re above eye level, they’re rarely addressed in standard cleaning programs.

The consequences compound quietly:

  • Accumulated overhead debris affects building air quality – every air movement dislodges particulate that falls and circulates
  • In food-adjacent, pharmaceutical, or manufacturing facilities, overhead contamination is a compliance issue – particles falling onto product lines, equipment, or packaging creates regulatory exposure
  • High-bay fixtures with accumulated dust run hotter and fail earlier, increasing maintenance costs

High-level industrial dusting requires dedicated equipment: extension ladders, scissor lifts or scaffolding for high-bay applications, HEPA-filtered industrial vacuums with extended reach tools, and crew trained to work safely at height. It’s not a task your nightly cleaning crew can add to their rotation.

We document before-and-after for compliance records. For facilities subject to regulatory inspection (FDA, USDA, state health departments), this documentation supports your audit file.

Emergency Response: Water Intrusion, Spills, and Contamination

Some projects don’t get scheduled – they happen on a Saturday afternoon and need a response before Monday morning.

Water intrusion (burst pipes, roof leaks, flooding): Standing water requires immediate extraction to prevent mold initiation. The response includes: water extraction, removal of saturated materials (ceiling tiles, carpet, wall base), surface disinfection, and HEPA air scrubbing to manage airborne particulate from disrupted materials. We document the situation on arrival – important for your insurance claim and any future mold dispute.

Contamination events: Biohazard situations, chemical spills, post-illness sanitization, and similar events require trained responders with appropriate PPE, EPA-registered disinfectants, and protocols matched to the contamination type. A standard janitorial crew with a mop is not the answer.

For existing clients: Emergency mobilization typically runs 4–6 hours from first contact. We prioritize current client emergencies. If your facility is on a regular program with us, you’re at the front of the emergency response queue.

Annual and Quarterly Intensive Deep Cleans

Many facilities run a solid daily or weekly janitorial program but need a once-a-year (or quarterly) intensive clean that goes beyond their regular crew’s capability:

  • Full carpet extraction across an entire floor or building
  • Complete floor stripping, waxing, and high-speed burnishing
  • High-level vent and HVAC diffuser cleaning across all zones
  • Comprehensive restroom tile and grout restoration
  • Annual kitchen and breakroom sanitization reset

These are one-time or periodic engagements with no recurring commitment required. We scope, quote, and execute. Some clients schedule annually in advance; others call when the need arises.

Schools and educational facilities: term breaks (winter break, spring break, summer) are the optimal window for annual intensive cleans with no occupancy disruption.

Post-Renovation Cleanup

Contractors are done. Your team moves back in next week. The renovation left drywall dust on every horizontal surface, adhesive residue on the floors, construction debris in corners, and paint overspray on fixtures.

Post-renovation cleanup is different from post-construction cleaning (an entirely new build) but shares the same requirement: specialized removal of construction residues without damaging finished surfaces. We scope based on the renovation scope and deliver a move-back-in-ready space.

Fixed Price. Specific Scope. No Surprises.

Project-based work has a reputation for scope creep and invoices that don’t match the quote. We don’t operate that way.

For all scheduled projects: We conduct a site visit or photo/video review before any crew is deployed. You receive a detailed written scope of work with a fixed price. The number we quote is the number you pay. No post-project additions, no “we ran into something unexpected” add-ons that weren’t disclosed upfront.

For emergency situations: We provide an assessment quote on arrival – no fixed price is committed for emergency cleanup before we can see the situation. The assessment is free. Once we’ve scoped the emergency, you approve the work before it starts.

Our Process

1

Project Scope Assessment

We assess your project in person or via photo/video review to understand the exact scope, urgency, access requirements, and desired outcome. No guesswork, no generic quotes.

2

Fixed-Price Proposal

You receive a detailed scope of work with a fixed price before any crew is deployed. The number we quote is the number you pay–no post-project additions.

3

Specialized Crew Deployment

The right team for your specific project: high-level equipment for industrial dusting, trained responders for emergency situations, detail crews for event restoration. Crew selection is project-matched.

4

Supervisor Walk-Through and Sign-Off

Before the crew leaves, a supervisor walks the completed project with you. Every deliverable on the scope is verified. Photographic documentation provided on request.

Seasonal Note

November–December is peak season for corporate event cleanup. Industrial high-level dusting projects book 2–3 weeks out year-round. Reserve project dates early–same-day or next-day availability is not guaranteed for scheduled scopes.

Need a custom quote? Contact us
  • Regular janitorial handles ongoing maintenance. Deep cleaning handles periodic facility resets. Project-based cleaning handles everything else–the one-time, specialized, or emergency scope that falls outside both. A warehouse rafter dusting project. A post-flood cleanup. A corporate event restoration. These require specific equipment, specific crew training, and specific mobilization windows that a standard janitorial or deep cleaning program isn't designed for. Project-based cleaning is the catch-all for 'we need this done, it's not in any regular program, and it needs to happen by a specific date.'
  • Book alongside your venue reservation–not the week before. Pre-event cleaning needs to be scheduled for the day before or morning of your event, which means the crew window needs to be confirmed well in advance. Post-event cleanup is often overnight (event ends at 10 PM, building needs to be business-ready by 7 AM), which requires confirmed crew availability. Holiday season (Nov–Dec) is our highest-demand window for event-related projects. Corporate events booked in September fill November cleaning slots by October. Don't assume availability.
  • Industrial high-level dusting is a specialized project requiring ladders, scissor lifts or scaffolding (depending on height), and HEPA-filtered industrial vacuums with extended reach. We vacuum and wipe rafter surfaces, overhead pipe runs, exposed ductwork, high-bay light fixture housings, and any horizontal overhead surface accumulating dust and debris. In manufacturing and food-adjacent facilities, accumulated overhead debris is also a compliance issue–particles falling from contaminated rafters onto product lines or equipment creates regulatory exposure. We document before-and-after for compliance files on request.
  • For existing clients, emergency mobilization is typically 4–6 hours from first contact. Water intrusion cleanup involves: extracting standing water, removing saturated materials (ceiling tiles, carpet, wall base), surface disinfection to prevent mold initiation, and HEPA air scrubbing to manage airborne particulate from disrupted materials. The scope depends on volume and how long water has been present. We assess on arrival and document the situation before starting–important for your insurance claim and any future mold dispute. For serious water damage, we work in coordination with your restoration contractor.
  • Yes–no ongoing commitment required for project-based work. Many facilities run a solid janitorial program but need a once-a-year intensive clean that their regular crew isn't equipped for: high-level vent cleaning, full carpet extraction across the entire facility, floor stripping and waxing, or a comprehensive restroom and kitchen sanitization reset. We quote and execute it as a standalone project. Some clients use this annually on a scheduled basis; others call when the need arises. Either way, no contract is required.
  • For emergencies, we provide an initial assessment quote on arrival–we don't commit to a fixed price for a water intrusion or contamination situation without seeing it first. The initial assessment is free. For all scheduled projects (events, high-level dusting, annual deep cleans, renovation cleanup), we conduct a site visit or photo review before quoting and provide a fixed price before any work begins. No surprises after the fact.
